Abstract submission

What is an abstract?

An abstract is a concise summary of a study, outlining its purpose, methods, results, and conclusions.

How do I submit an abstract?

The submission process is completely online via the abstract submission form.

Can I submit an abstract by email?

No. Abstracts can only be submitted via the online submission system. Submissions by email will not be accepted.

When will abstract submission be open?

Abstract submission is open from mid-October until the stated deadline.

Is it a problem when my abstract has been published or presented at another congress?

Abstracts must not have been published in an indexed journal or presented at another English-language conference prior to the EAES Congress.

Which language do I have to use for my abstract?

All abstracts have to be written in English.

What are the submission guidelines?

How many abstracts can I submit?

There is no limit to the number of abstracts you may submit. However, duplicate abstracts should not be submitted.

If an author has more than one affiliation, how can this information be added on the submission platform?

There is no additional text box available on the submission platform. If an author has more than one affiliation, all additional affiliation(s) must be included in the same text box.

Can I change the presenting author after submission?

Yes, the presenting author can be changed by sending an email with the abstract number and updated details to abstracts@eaes.eu

Do I receive a confirmation after submitting my abstract?

Yes, a confirmation email will be sent automatically after successful submission. Please keep this email for reference.

What if I do not receive a confirmation email?

If you do not receive confirmation within 24 hours, please check your spam folder or contact abstracts@eaes.eu

How can I withdraw my submitted abstract?

If you would like to withdraw your submitted abstract, please send an email to abstracts@eaes.eu
including abstract number and title.

Presentation preference

Please explain the option ‘1. Oral presentation (if not selected for oral; poster presentation second choice)’?

The allocation of oral presentations is decided by the Programme Committee and based on abstract scores. If you select ‘1. Oral presentation (if not selected for oral; poster presentation second choice)’ your abstract will be considered for an oral presentation but may be offered a poster presentation instead.

What does the selection ‘2. Oral presentation (if not selected for oral; I prefer to withdraw my abstract)’ mean?

When selecting this presentation preference your abstract will automatically be withdrawn if it is not selected for oral presentation.

Video submission

Do I still need to write an abstract for a video presentation? 

We kindly ask you to submit a (short) abstract via the abstract submission form. After the submission deadline you will receive the link and instructions for uploading your video.

What are the technical instructions for a video?
  • The maximum duration is 7 minutes
  • The maximum size is 2 GB or 2048MB
  • Audio narration is mandatory

After submitting your abstract, you will receive a link and instructions on how to upload your video.

Is audio narration of my video mandatory?

Yes, it is.

When do I receive the link to upload my video?

If you have selected ‘Video presentation’ as your presentation preference, you will receive a link and instructions from Multilearning on how to upload your video after the abstract deadline.

Abstract submission deadline

Would it be acceptable to submit an abstract after the deadline?

Unfortunately it is not possible to extend the deadline, but changes can be made after submission.

Will the abstract deadline be extended?

It is not possible to submit your abstract after the submission deadline. We kindly ask you to submit your abstract before the deadline.

Amazing Technologies

What does the abstract submission for the Amazing Technologies include?

Submitted abstracts will be selected for the Technology Symposium on Tuesday. These abstracts will not be selected for the core congress scientific programme. The abstracts should include amazing technologies that are shaping the future of minimally invasive surgery.

When is it possible to submit an abstract for the Amazing Technologies?

From 1 February to 1 March the abstract submission for the Amazing Technologies is open.

Oral presentation

Who selects the abstracts and decides how they will be presented?

All abstracts are graded anonymously by a panel of at least three reviewers. The final selection will be made by the EAES Programme Committee.

How much time do I have for my presentation?

Allotted time for presentation is 7 minutes followed by a 3 minutes discussion. Please be in time in the session room in order to be able to start on time.

What are the technical requirements for my oral presentation?

Presentations must be prepared in 16:9 format. We kindly ask you to bring your presentation on a USB/memory stick. 

Is there a template available for an oral presentation?

There is no template for oral presentations.

Can I present from my own laptop?

No. The use of personal laptops is not allowed.

Do I need to upload my presentation online before the start of the congress?

No. Speakers should bring their presentation to the Speaker Service Centre, no later than two hours before the start of their session

Where do I need to upload my presentation?

Speakers should bring their presentation on a USB/memory stick to the Speaker Service Centre, no later than two hours before the start of their session in order to ensure compatibility and correct function. Speakers for the first session of each day should hand in their presentation the previous day.

Is it possible to present my oral presentation remotely?

No. Virtual abstract presentation will not be possible. Authors of all accepted abstracts must present their work onsite at the Congress during the dedicated session.

Does a presenting author need to register for the congress?

All presenting authors must register and pay for the Congress. For further registration queries, check the registration webpage.

Can a presenting author be replaced by someone else?

Yes, you can send the name of the presenter by email to: abstracts@eaes.eu

When will I find out if my abstract has been accepted?

Selected presenting authors will be notified by email in early April.

Can I request a change in the presentation schedule?

Unfortunately, it is not possible to change the scheduled time or session once the programme has been finalized.

Can I include videos in my oral presentation slides?

Yes, videos can be included in your slides. Please check with the Speaker Service Centre to ensure compatibility.

ePoster presentation

How can I upload my ePoster?

By the end of March you will receive from Multilearning all technical details on how to upload your electronic poster.

What are the technical requirements to upload my ePoster?

Instructions for the preparation of your ePoster will be sent to the main author by Multilearning. You will receive a PowerPoint template. You are free to submit your own designs and color schemes and/or modify one of these templates to your needs.

  • Not password-protected
  • One (1) Slide only
  • PowerPoint or PDF format only

My poster presentation has been accepted at EAES. When exactly will my poster presentations take place?

There is no specific time slot allocated for ePosters. All accepted ePosters will be displayed digitally throughout the entire duration of the EAES Congress on dedicated screens.

Do I need to upload an ePosters if I am unable to attend?

If you are unable to attend the congress, you should withdraw your ePoster by sending an email to: abstracts@eaes.eu.

What is the time limit for the audio recording for my ePoster?

Time limit is 5 minutes.

Is audio narration of my ePoster mandatory?

No, it isn’t.

Will all posters be displayed digitally?

All ePosters will be available via digital screens.

Where and when will the ePosters be displayed?

All ePosters will be displayed in the main congress area electronically via LCD screens throughout the whole congress. The exact location will be visible on the floorplan in the Congress App in due time.

Will there be an (in person) poster presentation session during the congress?

No, ePosters will be available digitally throughout the whole congress but there will not be a session in the programme.

Are authors required to sit next to their poster?

No. There will be no dedicated poster presentation session where presenters are expected to stand by their posters.

How would questions about the posters be raised and answered?

Questions regarding a specific poster can be asked directly via email or through the congress app.

Poster Award session

How long is my presentation in the poster award session scheduled?

The oral presentation will take ± 3 minutes followed by ± 2 minutes of discussion.

Do I need to prepare an presentation when my poster is selected for the Poster Award session?

Please prepare max. 4 slides. Speakers should bring their presentation on a USB/memory stick to the Speaker Service Centre, no later than two hours before the start of the poster award session.

When will the winner of an award be announced?

The winners will be announced at the social event on Thursday. Make sure that you booked a ticket and be there!

Video presentation

How can I prepare my video presentation selected for the scientific programme?

Your uploaded video will be shown in the scientific programme. We kindly ask you to present your video orally, as audio narration will be disabled during your presentation.

My video is selected for video on-demand. What does this include?

Due to the large number of submissions and limited session space, it is not possible to schedule all submitted videos in a session. Videos selected for the video on-demand will be available throughout the entire congress via LCD screens. All delegates will be able to view these videos at their convenience. While it is not necessary for you to be present at the on-demand screens, your registration and attendance at the congress are mandatory.

Where and when will the video on-demand be available?

All videos selected for the video on-demand will be displayed in the main congress area electronically via LCD screens throughout the whole congress. The exact location will be visible on the floorplan in the Congress App in due time.

Award sessions

When will the winner of an award be announced?

When your abstract is selected for an award session, the winner will be announced at the social event on Thursday. Make sure that you booked a ticket and be there!

Registration

Is registration for the congress mandatory?

Yes, authors presenting an accepted paper must register to attend the EAES Congress and pay the appropriate registration fee before the 1st of April.

What does the special offer for young members include?

If you meet the conditions you will receive 75% discount on the congress registration fee. Amount depends on the registration category. There are no other discount registration fees available.

What are the conditions to receive 75% discount on the congress registration fee?

Surgical Endoscopy journal

Where and when will my abstract be published?

At least one week before the Congress, all accepted abstracts will be available online via the congress app. All presented abstracts will also be published in the supplement of the Surgical Endoscopy Journal.
