The 26th International Congress of the European Association for Endoscopic Surgery (EAES) will be held in London, UK from Wednesday 30th May through Friday 1st June 2018.

Abstracts selected for the 26th International Congress of the EAES will be published in a separate issue of the journal Surgical Endoscopy dedicated to congress abstracts, and will be available as an online version only.


Free paper oral – video presentation

Seven minutes are allocated for oral presentation and three minutes for discussion. Please do not run overtime! Ten slides are usually enough.

AV preview room

The AV preview room in Capital Suite – room 13 (level 3) is available for presentation preview on Wednesday and Thursday from 07:00 – 18:00 hrs and on and Friday from 07:00 – 17:00 hrs.

Speakers’ full co-operation in terms of ensuring the smooth-running of their presentation will greatly enhance the quality of the congress and will be appreciated.

Speakers using Microsoft PowerPoint for their presentation should bring their USB stick and/or laptop computer to the presentation preparation room no later than two hours before the start of their session in order to ensure compatibility and correct function. Speakers for the first session of each day should hand in their presentation the previous evening at least two hours before closing time.

Presentations may be adjusted prior to downloading onto the network.

The use of personal laptops during the sessions will compromise the smooth running of a very busy program, and we strongly advise against this.

Technicians will be available to assist you with your presentation and the set-up.

Size of presentations: Presentations with incorporated figures and especially video clips may cause problems and delays if not sorted out beforehand. Such presentations should be downloaded and distributed to the session name as early as possible in the preview room.

Please collect your presentation after your session from the presentation preview room.

We recognize that slides and PowerPoint presentations are personal property and they will be treated as such. Please do not hesitate to ask at the AV preview room if you have any questions.

E-Poster presentation (Digital posters)

All submitted posters will be available for inspection on flat screen poster display stations which are located in the dedicated E-poster area which is located in the exhibition hall on the ground floor. The posters will be grouped according to their topic.

Posters are numbered as can be found on the app. The same numbering system is used to identify which posters are displayed on which flat screen poster display station. Please note there are about 20 interactive stations each numbering 35 – 50 posters which are slowly cycling through with each giving a 40 second viewing time.

Poster presentation sessions (Elevator pitches) will take place on Friday, 1st June, from 07:30 – 08:30 hrs. At this time, delegates who have submitted a poster and have been invited by the reviewing committee to give further information, will present their posters in 1 of the 6 special Poster presentation sessions. These presentations will last 2-3 minutes and are open to all congress delegates who take an interest and who may ask questions.

Note that if the author of the poster is not present during these sessions, the poster will not be eligible for discussion or for the prize.

The jury will identify the best 2 posters in each group. The group of best posters will be reviewed by the Program committee, who will select the winners for the EAES Poster prizes to be announced on Friday late afternoon.

All selected posters will be displayed on all stations as the best posters from Friday around midday until the prize session on the Friday during the closing ceremony at 17.30 hrs in the ICC Auditorium.

Identification badges

Name badges will be issued to all participants when they arrive at registration. Access to all scientific sessions as well as to the exhibition will be possible, only, with your personal badge. Participants are kindly requested to wear their badges during all meeting activities. Your registration number is on your badge and you will need this to fill in the congress survey in order to obtain your certificate.

Mobile phones

We appreciate that all congress participants need to be available for calls, but the organisers and the chairmen of the sessions ask that all mobile phones are set to mute mode in all sessions and that calls are taken away from the sessions.

There is free Wi-Fi access in the congress venue.

Airports: London City 3.2 km, London Heathrow 42.0 km, London Gatwick 53.0 km,
London Stansted 52.0 km

DLR (Docklands Light Railway): Prince Regent and Custom House stations 2 minutes’ walk from the
venue. Service is fast and frequent, DLR runs 12 trains an hour to Beckton. ExCeL London is located in Zone 3.

London Underground: The Jubilee Line and the DLR are the quickest routes to ExCeL London. Alight at Canning Town on the Jubilee Line and change onto a Beckton-bound DLR train for the quick two-stop journey to ExCeL: Prince Regent for ExCeL (for the east entrance or the ICC London) or Custom House for ExCeL (for the west entrance)

Taxi: Approximate taxi cost from the city centre to the venue is GBP (£) 40,00.

Shopping hours

Generally shops in tourist areas are open from 09:30 to 21:00 hrs, on Sundays from 11:30 – 18:00 hrs. The currency is the GBP (£). Credits cards and bank cards are common use.

Banks and exchange

Most banks in London are open from Monday to Friday from 9.30 to 14:30 hrs.

The currency in UK is GBP (£). Congress fees and rates are charged in Euro (€). No other currency will be accepted during the congress. Payment may be made with Master, Visa card or cash.

Pharmacies are generally open daily during business hours and there are also 24 hours pharmacies.

Certificate of attendance
A certificate of attendance will be given to registered participants upon completion of the evaluation form. Terminals at the registration area will be open for this very purpose on Frida or fill in the survey via the congress app. After completing the survey the certificate of attendance will be e-mailed to you within a couple of days.
